Open a staff member from Settings → Operations → Staff, then Working Schedule. Pick the location at the top, then choose Add Schedule. To base a new schedule on an existing one, use the copy button on that row instead.

Name

Required. For your team only — customers never see it. Name it after what it covers, so the list reads clearly: “Mon–Wed”, “Morning shift”, “Alternate Fridays”, “Sydney CBD – Mon to Wed”.

Notes

Optional, for your team only. Notes appear on the booking calendar when someone checks that day’s availability, and in the warning popup if you book outside this schedule. Use them for conditions attached to these hours.

Working days

Tick the days this schedule covers. A summary shows the day count and total weekly hours, such as 3 days · 24.0h/wk.

Working hours

The times, in 15-minute steps. These apply to every day you ticked above. For a break in the day, choose + Time Slot and add a second block — 9:00 to 13:00 and 14:00 to 18:00. Customers can’t book across the gap. The total is shown as hours per day. Blocks must be in order and can’t overlap. The end time must be after the start time.

Recurrence

Every Week — the selected days, every week. Use this for a fixed roster. Every 2 Weeks (Alternating) — the selected days, every second week. Use this for a fortnightly roster, or when someone alternates between two branches. With alternating selected, a row of upcoming weeks appears with the working weeks highlighted, so you can check you’ve got the right ones. To shift which week is on, change the start date.
For someone who alternates between two branches, make an alternating schedule at each branch with start dates one week apart.

Start date and end date

Start date — the first day this schedule applies. Required. End date — optional. Leave it empty and the schedule runs indefinitely. Set it for a temporary roster, such as summer hours from December to February. A schedule with a future start date shows as Upcoming. One past its end date shows as Ended. Neither offers times to customers.

Services

All Services — the person can be booked for anything offered at this location during these hours. This is the default. Selected Services — only the services you tick can be booked during these hours. Pick at least one. Use this to limit what someone delivers at certain times, or at all.

Serving area

Only relevant if your staff travel to customers. Serve all suburbs — accepts bookings from anywhere in the location’s catchment area. This is the default. A named list — only customers in that list’s suburbs see times from this schedule. Lists are built and reused across schedules. See Serving areas.

Optimise travel between bookings

Off by default. Turn it on to keep a mobile provider’s bookings close together. See Travel between bookings.

Saving

The save is blocked until:
  • The schedule has a name.
  • At least one day is ticked.
  • There’s a start date, and any end date is after it.
  • Time blocks are in order, don’t overlap, and each ends after it starts.
  • At least one service is ticked, if you chose Selected Services.
  • Travel settings are filled in, if travel optimisation is on.
  • The schedule doesn’t overlap another one at this location.
An overlap shows as “Schedule conflicts detected” with the day and the name of the schedule it clashes with. Change the days, hours, dates, or recurrence.

Turning a schedule off

The switch on each row turns a schedule off without deleting it. Customers stop seeing its times straight away. Existing bookings are unaffected. Use this for a schedule you’ll want back — a seasonal roster, or someone on extended leave.

Deleting a schedule

The delete button removes it permanently. You’ll be asked to confirm. Turn it off instead if there’s any chance you’ll want it again.
